OFFICE & RESERVATIONS MANAGER (LONDON)

Salary: £28,000 - £30,000 per annum
Position: Full-time (40 hours per week)
Location: Head Office, Putney (London)
Start: October 2021

We are currently recruiting for an experienced Office & Reservations Manager, who will manage the day-to-day running of our Head Office. This is a highly varied position and will suit an inquisitive individual with excellent problem-solving skills. If you are curious and have an ability to look at old problems in new ways, then we would love to hear from you!

The successful candidate will have the following responsibilities:

Bookkeeping Duties/Responsibilities

  • Process accounts payable and receivable including: entering and verifying bills and invoices, ensuring compliance at all times.
  • Process orders, payments, sales invoices, payments and deposits.
  • Set up and maintain financial records in paper and cloud-based file systems.
  • Balancing accounts
  • Completing quarterly/yearly VAT returns
  • Preparing invoices for the Inland Revenue
  • Checking company bank statements
  • Preparing cash flow statements
  • Dealing with financial paperwork and filing in an organised manner


HR Administration Duties/Responsibilities:

  • Process all new starters and leavers including administrating employment contracts, induction packs, reference requests and any other necessary administration.
  • Process all paperwork associated with employment changes and variations to contracts.
  • Create and maintain all employee personnel files, ensuring archiving of leavers and cleansing of information held in line with the Data Protection Act.
  • Create and maintain up to date online folders for all employee benefit information.
  • Assist with any recruitment administration, including employment applications and ensure safer recruitment practices are met
  • Maintain the HR calendars including sick absence and holiday reporting
  • Any other duties as required by the business.


Payroll Duties/Responsibilities:

  • Assist or process (as required) weekly and monthly payroll including statutory year end returns and P60s.
  • Deal with employee salary and payroll queries
  • Assist with reporting from payroll in line with HR and business requirements.
  • Assist with entering variable overtime and expense payments.
  • Chase line managers for missing information as required.
  • Collate weekly/monthly wages/commissions as required and process in line with company requirements.


Office Manager Duties/Responsibilities:

  • Oversees the smooth operations and running of all office/administrative functions, including securing and monitoring office supplies.
  • Oversee and contribute to the administration of sales, including the processing of incoming enquiries and reservations.
  • Collaborate with contracted IT support.
  • Establish and maintain effective filing systems (both digital and physical).
  • Serve as first point of call in the office during business hours.
  • Establish and maintain inventory of all office supplies, and a regular method of ordering, distributing and paying for all supplies.


Key Skills & Competency Requirements:

  • Experience of using Xero and Dext is advantageous; however, extensive experience of a cloud-based accounting software is essential.
  • Strong MS Outlook, Excel and Word skills are essential.
  • Flexibility with hours and peak periods of work is essential.
  • Experience of HR administration is desirable although not essential.

  • A minimum of 3 years of progressive experience and responsibility in a bookkeeping and administration position
 

 

EVENT & PROMOTIONS MANAGER (LONDON)

Contract: Full Time 
Location: Head office

We're on the look out for an experienced and well networked candidate to join our team on a full time basis to head up our promotions and sales in London. The chosen candidate will be able to demonstrate a minimum of 3 years experience within a similar role and must be enthusiastic, hardworking, personable and have experience in promotions, sales or events. 

As our Event & Promotions Manager, you will act as a bridge between our sales and marketing teams and oversee the planning and organisation of our parties to ensure the highest of standards are met. This is a fantastic opportunity for someone who has a passion for the late-night hospitality industry and wants to be part of an award-winning brand. 

The ideal candidate will possess knowledge of nightclub promotion, be able to detail direct or transferable experience, have access to a large network of prospective customers, be dynamic, well organised and have excellent communication skills. You will be based in our head office in Putney between Monday-Friday and play an active role in the management of our weekly events, so flexibility to work on weekends or evenings is a must.

GRAPHIC DESIGNER

Contract: Part Time (24 hours per week) 
Location: Head office (Putney, London) 

We are seeking a technically skilled, ambitious and creatively minded graphic designer with motion graphic design experience, who is motivated to take the lead in all stages of our digital and print marketing, from concept, to final delivery.

The ideal candidate will have:

• Passion and personal motivation to perform the role to the highest standards
• Act on own initiative with a can do attitude
• Previous experience (min 3 years) in a similar design role
• Able to demonstrate relevant professional experience
• Manage a number of projects/responsibilities simultaneously
• Operate effectively in a fast paced environment, able to adapt to change and redefine goals as necessary
• Strong attention to detail
• Good communication and interpersonal skills, both written and oral
• A personal interest in the latest technologies and trends

The required skills needed are:

• Highly proficient in After Effects, Adobe Illustrator, In-design, Photoshop and Premiere (or alternative software solutions)

• Collaborative and organisation skills, ability to perform tasks and prioritise work, especially when there are conflicting demands

DIGITAL MARKETING & SOCIAL MEDIA MANAGER

We are seeking an experienced and passionate individual to co-ordinate and manage Sintillate's social media channels and email marketing correspondence. This role will be focused in driving forward the direction of our social media strategy – creating innovative and standout channels, with engaging and relevant content, that will support the development of the annual brand content and business turnover. The ideal candidate will have 1-2 years experience in a similar role, including proven experience of working across blogs, social networks, email marketing and online promotion. Experience in creative writing as well as a working knowledge of Photoshop or similar design applications would be advantageous.

Responsibilities include:

• Initiate innovative new approaches to social media output with a genuine expert understanding.
• Monitor engagement, respond and interact with users across platforms, building brand loyalty.
• Maintain Sintillate’s distinctive tone of voice across all communications.
• Stay informed of all social media trends & digital marketing developments, particularly within mobile, video and lifestyle, travel, pop culture & luxury nightlife sector.
• Remain reactive in the moment to environmental changes, culturally pertinent events or headlines and external factors such as weather & national holidays etc.
• Develop & implement the social media calendar for all social media channels.
• Execute monthly paid social campaigns and report back on results.
• Develop digital strategies, implement new technologies, and services whilst sourcing new online channels and platforms for Sintillate to market upon.
• Creation of weekly email newsletters; liaising with all team members to ensure that any relevant content is included to increase enquiries and sales.
• An understanding of SEO best practises and methods in which to improve website footfall and brand visibility.
• Strong awareness of currently popular online creators, influencers & celebrities whom can be contacted to negotiate deals that will garner exposure for our events.
• Liaising with desired fashion/beauty/lifestyle brands to arrange giveaways to boost the brand’s social engagement & following.

• Excellent communication skills both written and verbal; the ideal candidate would be organised, efficient and self-motivated with the ability to work autonomously and constantly multi-task.

LONDON PHOTOGRAPHER 

Contract: Part Time (Saturday day and/or evenings)
Location: London

We are looking for a photographer to capture photos of our guests at our weekly events in London! Applicants must be courteous & efficient, able to generate a high shot-count, have a creative flair and be experienced in nightlife photography. They will also present a professional appearance and attitude at all times, maintaining an excellent standard of customer service, in addition to owning their own high spec photography equipment.
